Detailed Breakdown of Transaction States
1. Upcoming
- Meaning: A future planned expense, income, or bill.
- Examples: Next week's rent payment, upcoming monthly Netflix subscription, or a planned salary deposit.
- Ledger Impact: Projections only. They do not affect your current posted account balance.
- UI Indicator: Displayed in your timeline with a subtle clock indicator and future date tag.
2. Pending
- Meaning: Real-world payment authorized by your bank or awaiting payer approval, but not yet settled.
- Examples: A coffee shop credit card authorization, a pending hotel hold, or a shared group expense waiting for payer approval.
- Ledger Impact: Authorized activity that has taken place but remains unfinalized by the financial institution.
- UI Indicator: Represented by a compact
Clockicon badge in the transaction status cluster ([Clock] [Expense]).
3. Posted
- Meaning: The transaction has settled with your bank and is officially recorded in your Moza ledger.
- Examples: Settled card purchases, completed bank transfers, direct deposits, or manually entered transactions.
- Ledger Impact: Fully affects your account balance and available budget numbers.
4. Cleared (✓ Cleared)
- Meaning: Verified transaction line item. You or Moza AI have verified that this transaction matches your bank's posted records.
- Ledger Impact: Confirms line-by-line accuracy. Used during reconciliation to compute your cleared ledger balance.
- UI Indicator: Displays a subtle checkmark (
✓) in your transaction detail pane.
5. Reconciled (✓ Check Badge)
- Meaning: Verified accounting checkpoint. The transaction has been verified against an official bank statement and finalized in a Reconciliation Checkpoint.
- Ledger Impact: Verified audit record. Accounting-critical fields (
amount, account, date, direction) are protected to ensure audit integrity. - UI Indicator: Represented by a square
Checkicon badge (✓) rendered in the status cluster immediately before the transaction type pill ([Check] [Expense]). - Interactive Popover: Clicking the
Checkbadge opens a Radix popover card displaying● Verified & ReconciledandReconciled on [Date].
Reconciliation vs. Transaction Status
| Concept | What It Represents | Can Be Edited? |
|---|---|---|
| Status (Pending, Posted) | Bank processing stage | Yes, updates automatically or manually |
| Reconciled (✓ Check Badge) | Statement checkpoint audit verification | Accounting fields protected; non-accounting fields editable |
Selective Auto-Unreconcile Safeguard
To maintain complete accounting integrity, Moza enforces strict audit rules:
- Accounting Edits: If you attempt to modify an accounting-critical field (
amount, account, date, direction, or transaction deletion), Moza prompts you for confirmation and automatically clears the reconciliation status to prevent balance drift. - Non-Accounting Edits: Editing non-financial fields (
notes, merchant display, category, tags, orattachments) is permitted without breaking the reconciliation status.
Simplified Transaction Filtering
Moza simplifies transaction filtering around your mental model:
- Charged / Settled: Shows all Posted and Cleared transactions currently affecting your balances.
- Uncharged / Pending: Quickly filters for pending authorizations or upcoming scheduled items requiring attention.
- Reconciled: Displays transactions verified in locked statement checkpoints.
